Visitor and Parking Log for Apartment Buildings: Going Digital
Everyone knows the paper register at the gate: half the names are unreadable, pages are torn, and finding who came last month takes half an hour. Here is what changes when the gate log goes digital, and what it should record.
What goes wrong with a paper register
- ✓It cannot be searched — finding who came on a given day means leafing through pages.
- ✓It cannot be read — names and number plates written in a hurry.
- ✓It gets lost — a wet or torn register takes the record with it.
- ✓The owner cannot see it — there is no way to know what is happening at the gate from outside.
What a digital gate log should record
| What | Why | |
|---|---|---|
| Residents coming and going | Tenants, owners living in their flats and their family members — who is in and who is out | |
| Visitors | Name, a phone number if wanted, and which flat they are visiting | |
| Vehicles | Which car came in and went out, with unknown vehicles marked | |
| Reports | Look up any day or any flat | |
| Privacy | Only the people who need it can see it |
A household list taken in advance makes the guard's job easier — see the new-tenant checklist.
It has to be easy for the guard
The guard keeps the log, so it has to be easy for them above all. In MyBasha the guard logs in with their own phone number and the password you give them, and gets a small gate screen — in Bangla, with two large tabs: parking and residents. They tap rather than fill in long forms.
Guards on shifts press "start duty" and "end duty", so you also know who was at the gate when. Guards can see the reports, but not rent, bills, expenses or anyone's NID.
Parking
With the residents' vehicles on a list, the guard only has to tap: vehicle in, vehicle out. A vehicle that is not on the list is recorded separately as an unknown vehicle, which makes it easy to find later.
Privacy
When someone leaves home is sensitive information. So the log is seen only by the owner, the manager of that building, and the guard. Tenants do not see anyone's log, not even their own.
